SCYP Board Meeting

June 7, 2013 9:30 a.m.

Secretary/Treasurer’s Report

  • Current bank balance: $7,938.45
  • Old minutes- motion to approve by Gayle, seconded by Kathy

Old Business

  • Discussed SCYP booth at NLA conference. Will have a gift card tree. Officers will try to get donations of gift cards from places like Best Buy and Barnes and Noble (places people will be able to use all over the state or online). People will buy raffle tickets to win the whole tree. Winner announced at the Mad Hatter Luncheon.
  • Gayle suggested having a game theme for the booth- “It’s All in the Cards.” Would design a game with a deck of cards with book suggestions.
  • Gayle will make SCYP letterhead and a form letter to use to solicit donations of gift cards. She will send to SCYP officers.
  • Email the officers if you get a gift card so we do not duplicate.
  • Will have a sign-up to staff the booth during the conference. Will send to SCYP and YART members.
  • Still waiting on a list of approved sessions for conference. There will be two Golden Sower sessions with two of the authors.

New Business

  • 2014 Spring Meeting- Gayle has a speaker in mind to discuss creation of functional spaces for children and teens in the library and incorporating technology into those spaces. Kathy made a motion to contact him for pricing before moving further. The group approved this motion.
  • Discussed other ways to provide support for our membership. Gayle suggested small scholarships to the SCYP spring meeting, ALSC, etc. Will continue brainstorming at future meetings.
  • Discussed $1,000 contribution to the Norfolk Literature Festival. Sally will contact Karen Drevo about reducing our contribution in the future.
  • Bethany suggested two separate bank accounts for SCYP and Golden Sower funds. It is unclear to newer people which money belongs to whom. After discussion, Kathy made a motion to open a separate account for Golden Sower and Michelle seconded. All approved the motion. Bethany will talk to Wells Fargo about opening the second account and adding Kathy’s name to the account.

Meeting adjourned. Next meeting will be in late August. Sally will send out a Doodle calendar.

SCYP Board Meeting

Secretary/Treasurer’s Report

  • Current bank balance: $6,718.97
  • Treasurer’s report- motion to approve by Terry, seconded by Michelle

Old Business

  • Logo contest- board voted to approve one of the logos submitted. Terry will contact the creator for some minor changes. Once approved, the logo will be added to our website.
  • SCYP budget and Golden Sower budget- unclear on who can use funds in our account. Sally will talk to Patty Birch to clarify how much Golden Sower money can be used by SCYP. We discussed about formalizing an agreement in our bylaws.  Bethany will create a proposed budget for each based on past income and expenses.
  • Discussed 2013 NLA conference. Idea for raffle is a gift card tree with gift cards donated by businesses, possibly YART. Sally can set aside gift books for a free raffle. Would like to partner with YART for the booth- suggested they could donate the candy and a gift card. We agreed things needed to be more organized in the partnership than it has in past years.

New Business

  • Spring Meeting ideas discussed. Tentative plan is to hold a one-day workshop at the Blair Public Library on a Saturday in April. Possible dates are April 13 and 27. Time would be 8:30 a.m.-1:30 p.m. Registration fee would be $15 plus $8 for lunch (could choose not to get lunch). Lunch would be limited choices from Jimmy John’s. Theme would be eBooks in Libraries. Proposed schedule:
    • 8:30-9:00              Registration and coffee
    • 9:00-9:50              ABC’s of eReaders- how to use eReaders and OverDrive
    • 10:00-10:50         Petting Zoo- Library Commission will provide different eReaders to try
    • 11:00-11:50         Integrating eReaders into your library- policies, management, grants, panel with Omaha Public Libraries, Millard Public Schools?
    • 12:00-12:30         Lunch
    • 12:30-1:30           Table Talks- brainstorming sessions about youth in libraries. May include early literacy (Gayle Roberts), library learning centers (Terry Osborn), bookstore shelving/shelving by genre, storytelling, Summer Reading Program (Sally Snyder)
    • Invitation to join Read Aloud Nebraska for 2014 Spring Meeting. We are interested but unable to commit at this time.

SCYP Board Meeting

Secretary/Treasurer’s Report

  • Old minutes moved to approve by Terry, seconded by Sally
  • Plum Creek- will pay a percentage for each SCYP member that attended
  • Treasurer’s report moved to approve by Terry, seconded by Sally

Old Business

  • Conference
    • List of programs on NLA conference website
    • Candy for presenters- Sally will buy and submit a receipt for reimbursement
    • Need volunteers as room hosts and to work at our booth.  Terry will send a request through Memberclicks
    • We donated $100 to the Paraprofessionals for their vendor activity.
    • Donation to Read Aloud Nebraska for conference programs- $1,000.
    • Raffle at booth for gift basket- books (provided by Gayle and Terry), $25 Amazon gift card, candy, wine, cheese, crackers, candle, two wine glasses, romantic CD.  Spend $100 plus $25 gift card.  Gayle will buy.  Tickets will be $1 each or 6 for $5.
    • Bethany made a brochure explaining what SCYP does.  She will print 200 copies for the booth.
    • Annual Meeting/Mad Hatter Luncheon- financial statement (YTD as of September 30), minutes from last year (will vote on), agenda (includes our web address, thank you to Duane Munson), announcement to start thinking about elections for next year
  • Election results- Michelle Bullock elected as Vice Chair

New Business

  • Terry volunteered to be the new SCYP webmaster.  Bethany will give Terry login information for new website.
  • Golden Sower- Voted on SurveyMonkey expense for Golden Sower website.  Moved by Terry, seconded by Sally.
  • What can SCYP do for our people?  Ideas included scholarships, send to conferences (AASL, ALSC), resource sharing (wiki).  Will discuss again at next meeting.
  • Discussed having a logo contest- winner gets a free membership to NLA and SCYP.  Terry volunteered to make a flyer to put at our booth at NLA.

Old Business

Golden Sower Report

  • Golden Sower Committee met prior to this meeting.  Winners will be announced May 1.

Financial Report

  • Read Aloud Nebraska (RAN) is sponsoring two authors at the fall NLA conference.  It will cost $1,300 for Lisa Ernst Campbell and $1,200 for Jim Aylesworth.  SCYP will contribute $1,000 to RAN for the presenters.
  • SCYP will contribute $50 to the Nixon Scholarship.
  • ALA in Anaheim- $1,200 is slated to send the chair.  Bethany will email Patty to ask if we pay prior to the conference or reimburse afterward.

Fall Conference

  • For programs we sponsor, we help presenters pay for copies and other associated expenses.
  • Terry passed out a list of program proposals.  There are 14 so far and more to add, including the Mad Hatter Luncheon.
  • SCYP is sharing a booth with YART.  Sally will sign us up for this booth.  Our booth will be next to the Golden Sower booth.
  • The Paraprofessional Section will be doing a BINGO game with the vendors.  SCYP will give them $100 to help with this.
  • Our booth will have a raffle.  It will be $1 per ticket and we will give away children’s books (gift books, donations) and a $25 Amazon gift card.  Gayle is in charge of this.
  • A live Candyland game was also proposed for the booth
  • Bethany will update the SCYP brochure to put out at the booth.  We plan to print 200 brochures.
  • Sally will purchase bags of chocolates as thank you gifts for presenters.
  • Gayle or RAN will make gift baskets for authors.  Sally will find out who will do it.

New Business

  • Chair Elect candidates- Michelle Bullock and Julie Osnes
  • Website- Bethany will work on a new website.  She will contact the NLA webmaster about converting the link from the NLA site to the new site.

Unfinished business

  • 2011 NLA/NEMA Conference- 10 programs sponsored by SCYP

New business

  • Approved to give $100 to YART for Spring Meeting
  • Approved to give $1,000 for Norfolk Literature Festival.  SCYP members will be able to attend for free.  Will contact Karen Drevo at the Norfolk Public Library for information.
  • Terry suggested giving $100 for the Plum Creek Literacy Festival.  Consequently, SCYP members would get $20 off registration costs.  Will explore further.
  • Ideas for 2012 NLA fall conference
    • Partner with Read Aloud Nebraska to pay someone to present.  (Perhaps a Golden Sower author.)
    • Partner with Omaha Public Libraries to have an author speak.  OPL usually has an author visit during Teen Read Week.
    • Have Lisa Guenther (Norfolk Public Schools) present.  She does a presentation on One Book, One School.
    • Will share a table with YART again next year.
    • Partner with Paraprofessional Section to do an activity other than a scavenger hunt.  Vendors would like more interaction with conference attendees.
    • Give small thank you gift to presenters.  Ideas?
    • Funding for attendance at ALA or ASLC- Terry would like to go.  In the past, SCYP has reimbursed up to $1,200.  The board approved a motion to do this again.
    • Committee Reports
      • Kathy Schultz will hold Golden Sower Committee meeting in April.  A SCYP Board meeting will take place in the morning and Golden Sower Committee in the afternoon.
      • Web manager- Evonne.  Discussed changing hosting site to Wordpress.  Evonne will talk to the NLA web master about making this change.
      • Mad Hatter Committee members- Judy Henning, Chair (Kearney Public Schools), Sherry Crow (UNK), Brad Hruska (Columbus Public Library), Jen Harvey (UNK), Sally Snyder (Nebraska Library Commission)
      • Publication Committee- Lori Brezina.  Suggested that Lori talk to Lindsey Tomsu (LaVista) about newsletter.
      • Learning for Life- NEMA does this, so we don’t need to.  Terry will look at our by-laws to reflect this change.
      • NLA Membership Committee- Terry will follow up on this.
      • NLC Youth Advisory Committee- Shawna Lindner.  The 2012-2013 One Book for Nebraska Teens was selected in October.  The Youth Advisory Board has selected Blank Confession by Pete Hauptman.

            • NLA treasurer can take over a section’s bank account.  Decided to table the discussion on this until the group can vote at the annual business meeting.
            • NLA’s goals- increase membership, form an ad hoc committee for website design
            • SCYP- Should we send a welcome letter to new members like NMRT?  Bethany will get an example of NMRT’s letter.
            • Can do online registration for SCYP events
            • 2011 Goals- Will be 2012 goals as well
              • Continue to provide opportunities for professional growth (NLA convention and other meetings); support Norfolk Public Library’s Literature Festival (free for SCYP members), and the Plum Creek Literacy Festival (with $20 toward the registration fee for SCYP members).
              • Continue to update the SCYP webpage
              • Increase promotion of opportunities for SCYP members
              • Increase opportunities for cooperation between school and public libraries
              • Booth for SCYP at NLA/NEMA will be shared with YART
